Depending on the situation, we collect data from you or from other sources.
Data sent by you
If you contact us about a booking or if you book a room in our hotel, if you have special requirements regarding your visit or use a social network that we have communicated to you, we will collect and process the data you send us. This may include sensitive personal data, such as information about allergies.

Data from other sources

If someone makes a booking for you, we process your personal data.
Sometimes we receive personal data from third parties (including other companies in our group) with whom we work or who provide us with products or services.
In addition, to the extent permitted by law, we (or a third party) may in certain circumstances use tracking tools (such as cookies) to collect data about you. You can find more information about the use of cookies on our website.
In some cases, we process personal data about you that comes from public sources, such as social media. This is the case, for example, if you post a review about our hotel on a website.
When we process your personal data from other sources, we will inform you in accordance with the GDPR.

Legal basis for processing
Processing is based on:

  • your consent (in cases where we have requested it and you have given it);
  • the performance of a contract to which you are a party, or in order to take pre-contractual measures at your request (e.g. in the case of a booking);
  • a legal obligation (e.g. the legal obligation for accommodation providers to register hotel guests);
  • our legitimate interests. For example, we have a legitimate interest in offering our guests and customers the best possible quality of service, as well as contacting our guests to ask them for feedback on their stay at our hotel. Where processing is based on legitimate interest, we must balance our

legitimate interests against your rights and interests.
Purpose
To provide the services and products you have requested (e.g. as part of a booking), to evaluate and improve our services, and to fulfil our legal obligations (e.g. to register hotel guests).

Legal basis for processing

Your consent (in cases where we have requested it and you have given it), processing is necessary for the performance of a contract to which you are party, or in order to take the necessary steps for you to access the contract (e.g. in the case of a booking) or for legitimate interests. In the case of processing based on legitimate interests, we will balance our legitimate interests against your rights and interests.

Purpose

To provide you with the services and products you request, to manage and market our services and products, and to communicate with you.

Personal data relating to children

To the best of our knowledge, we do not contact or collect personal data from children under the age of 18 without the prior consent of a parent or guardian. If you believe that we have inadvertently obtained such data, please contact us so that we can obtain parental consent or delete the data as soon as possible.

Legal basis for processing

Suite Home has a legitimate interest in sending commercial information to its existing customers about its own similar products and services (e.g. invitations to events, promotions and special offers, etc.), including via social media. If you do not wish to receive our communications, you can express your preference at the time we collect your information (e.g. in the form you fill in when registering). In addition, if we process your data for marketing purposes, you have the right to object to this at any time (see below for the options and rights available to you in this regard). You can object to this, for example, by using the unsubscribe links in the relevant communication.

If you are not a guest or customer, we may use your personal data to send you marketing information (e.g. invitations to events, promotions and special offers, etc.), including via social media, if you have given us your prior consent to do so.
If you have consented to receive our marketing communications or digital newsletters, you may withdraw your consent at any time.

Purpose

We use your information to keep you informed about our services, events and promotions.

Profiling

In order to provide you with quality service each time you visit our hotel, we may maintain a profile on you, which may include information about your previous stays (e.g., how often you visit our hotel, the last time you visited our hotel, and financial information about your past stays).
The processing of your personal data is based on our legitimate interest in providing tailored customer service.

Purpose

Suite Home collects and uses your personal data solely for recruitment and selection purposes.

Who are the recipients or categories of recipients who will receive the personal data?

In order to serve you better, we may need to communicate/share your personal and anonymous data:

  • to other companies (including companies and hotels belonging to the Pandox Group), including suppliers, subcontractors and companies with which we collaborate. Their use of this data is subject to the restrictions set out here and to agreements requiring them to respect its confidentiality. Our suppliers assure us that they will take the necessary measures to protect the data they hold on our behalf. However, data security cannot be guaranteed.
  • with third parties acting as processors who provide services to us (e.g. companies that assist us with marketing or IT activities).
  • with other companies in the group (e.g. to facilitate bookings).
  • with lawyers or advisers to the Pandox Group, external Data Protection Officers.
  • with the competent authorities.
  • with analytics companies that may access anonymous data (such as your IP address or device ID) to help us understand how our services are used. In this case, your data will only be used on our behalf. They will not disclose it in any form other than in aggregate form. No data specific to an individual user is shared.
  • With potential future purchasers of the company: in the event that all or part of our company is taken over by a third party, your information will be transferred to the purchaser.

Will transfers to third countries take place?

As a general rule, we do not transfer personal data to third countries (i.e. countries outside the EU/EEA). It is possible that Suite Home’s service providers may process your data outside the EEA. In this regard, Suite Home undertakes to ensure an adequate and sufficient level of protection for your data (e.g. by entering into the European Commission’s standard contractual clauses – Article 46 GDPR) or by any other means.

How long will the data be stored?

We will not store data for longer than is necessary for the relevant processing purpose. Our managers will ensure that measures to delete personal data are complied with. Please note, however, that certain laws require certain data to be retained for a certain period of time. (For example, we are required to retain data relating to hotel guests for a minimum period of 7 years after their stay). We retain camera images for one month as a rule.
What are my rights as a data subject?
You have the right to access your data, have your personal data corrected, in certain cases object to the processing and request that personal data be deleted, that the processing of your data be restricted
(meaning that the processing of personal data must be limited to a specific use) and that the data be returned to you on a computer medium (data portability).
Please note, however, that certain personal data is necessary for us to fulfil our obligations, such as payment information, and therefore cannot be deleted.
You also have the right to withdraw your consent when processing is based on consent. If this is the case, it will be indicated as the legal basis in the relevant sections above.
In order to exercise your rights under the GDPR, you must send your request, including a copy of a document proving your identity, to Suite Home (see contact details below). We cannot process your request without proof of your identity.
Below is a detailed description of your rights as a data subject, but please note that there are exceptions and conditions for exercising certain rights.

  1. Right of access
    You have the right to access your personal data that we process. If you wish to exercise this right, please send us a request as described below.
  2. Right to rectification
    As a data subject, you have the right to request the rectification of incorrect personal data concerning you. In other words, you, as the data subject, must provide the missing data, in particular by means of a supplementary declaration. These additions refer to missing personal data that is relevant to the purpose of the data processing.

Where personal data are processed for marketing purposes, the data subject has the right to object at any time to the processing of personal data concerning him or her for such marketing activities, including profiling within the limits related to the direct marketing in question.

In some cases, we ask for your consent in order to provide you with certain services and to process your personal data. Once you have given your consent, we will only process your personal data for purposes related to such a service, product or similar.

  • If we process special categories of personal data (such as allergies).
  • Where the processing of your personal data is based on consent, you have the right to withdraw your consent at any time. Security measures
